About these terms
These terms apply to all work XC Media undertakes. The scope, pricing, deliverables and timelines for your project are set out in your quote or proposal. If the quote and this page ever say different things, the quote wins.
Quotes and acceptance
Quotes are valid for 30 days. Work begins once you accept the quote in writing and pay any deposit. If you ask for something outside the agreed scope, we quote it separately before we do it.
Term
Retainers start with a three-month term, billed monthly. After that they run month to month, and either side can finish with 30 days notice. Work completed up to that point is payable.
Payment
Invoices are payable within 14 days. Retainers are billed monthly in advance. We may pause work on accounts more than 14 days overdue.
Delivery
Finished reels are delivered within five business days of receiving your footage. Footage counts as received when it lands in your XC Shots folder. Anything that arrives after 5pm Australian Eastern Time, or on a weekend or public holiday, counts from the next business day.
Up to twice your weekly allocation is delivered in one delivery period. Anything beyond that follows in the next period. Footage has to arrive by the fifth-last business day of the month to count toward that month. Reels you don't film don't roll over and aren't refunded. We don't offer rushed or same-week delivery.
If we miss a delivery period for a reason within our control, the reels arrive in the next period and you're credited for them on your next invoice.
Our promise: your reels are posted every week, when your footage is in on time, or that week is free. Late footage means the week rolls, not a free week.
Revisions
One round of revisions is included per reel. A revision means changes to captions, pacing, music, colour or minor recuts within the footage you supplied. It doesn't mean new footage or a different concept. Additional rounds are quoted separately.
In-person shoots
Most work runs remotely, but in-person shoots can be arranged. When one is agreed, the date, location and any travel are set out in your quote. Shoots cancelled or rescheduled with less than 48 hours notice may be charged in full, because the time is reserved for you and can't be refilled at short notice.
Client responsibilities
You film the footage using the shot lists in XC Shots and upload it on time, unless an in-person shoot has been agreed. You're responsible for access to premises and for permission to film staff, customers and premises, including consent from anyone who appears on camera. You supply logos, brand assets and account access where relevant, and approvals on time. Comments and direct messages on your accounts stay yours to answer.
Your ad account, page and pixel stay in your name. We're added as a partner and never need your passwords.
Ownership and portfolio rights
Once your invoice is paid in full, the final delivered files are yours. Use them commercially, anywhere, for as long as you like.
XC Media keeps the project files, and the raw footage from any shoot we film.
XC Media may show completed work in its portfolio, on this website, and on its social channels. If you'd rather we didn't, tell us in writing before the work begins and we won't.
Third-party costs
Music licensing, stock assets, travel for in-person shoots and any paid tools you ask for are additional. They're always quoted in advance.
Ad spend is paid by you directly to Meta on your own card and is never part of our fee.
Performance
We deliver content to the agreed standard. We don't guarantee specific business outcomes, reach, engagement, follower growth or revenue. Those depend on platform algorithms and factors outside anyone's control.
Liability
Our liability for any piece of work is capped at the amount you paid for that work. We're not liable for delays caused by late, incomplete or unusable footage, or for when and whether you publish what we deliver. Nothing in these terms limits your rights under the Australian Consumer Law, including the guarantees that services are provided with due care and skill and are fit for purpose. Those rights apply no matter what any contract says.
Confidentiality
Both sides keep commercially sensitive information confidential. What we learn about your business stays between us, and the same applies the other way.

The content on this site belongs to XC Media and may not be reproduced without permission. The site is provided as is.
Governing law
These terms are governed by the laws of Victoria, Australia.
Changes
These terms may be updated. The version in force for your project is the one on this page at the time the work is agreed.
